At Point-N-Click we're continually asked the same question "How can I create a mailing list and print the names on envelopes?" Using Microsoft Word and following these steps you'll be able to create your next holiday envelopes with ease.
As I said, you'll need Microsoft Word up and running in order to follow the steps. The steps provided are specifically designed for Word 2003 however, with a little searching you will find these same button choices in other flavors of Microsoft Word.
1. Start Word. A
blank document opens by default. Leave it open. If you close it, the next
step won't work.
2. On the Tools menu, point to Letters and Mailings, and then
click Mail Merge. The Mail Merge task pane opens. By using
hyperlinks in the task pane, you need to navigate through the mail-merge
process.
3. Then select your document type (Letters, Email messages, Envelopes,
Labels, Directory). For our example I have selected envelopes.
4. Then click “Next” at the bottom.
5. Step 2 requires you to choose an existing envelope file or modify the
current blank page from scratch. Choose “change document layout”
6. Then select envelope options below.
7. It should change the blank white page to an envelope with your return
address if you set up your system properly. If not you can add it now.
8. Then hit “Next” at the bottom to select recipients.
9. Step 3 allows you to select the names from an existing list, your outlook
contacts, or type a new list. This example I’ll chose type a new list.
10. Then hit “create” and a pop-up window will appear where you can enter
you list. After you have filled in the form hit “new entry” to get another
blank page. When you are finished hit “close”.
11. You’ll then be asked to save the file, so fill in a name for the list of
contacts and hit save.
12. Then you’ll see another pop-up windows with the list of names in a
table. Here you have options like to deselect some names and then hit the
“ok” button.
13. Then hit “next” to arrange the envelope.
14. On step 4 you can add different items like greeting line, bar code,
etc. Then hit “next” to preview the envelopes.
15. You are now on step 5 and here you can preview each envelope with the
merged information before printing or sending.
16. Then click “next” to complete the process.
